Types of Receptionist & Admin Roles

“Reception” covers several different jobs, and the day-to-day work varies a lot between them. Check which one a listing means before you apply:

  • Front-of-House Receptionist

    Based on the premises of an agency, parlour or studio. You greet clients, manage check-ins, take payments and keep the reception area calm and presentable. Client-facing, but a support role only.

  • Telephone Booking Operator

    Phone and message based, often from a small office or a dedicated line. You handle enquiries, screen callers, confirm bookings and pass details to the team. Frequently advertised as evening or overnight cover.

  • Agency Administrator

    Behind-the-scenes office work: rotas, diaries, invoicing, supplier accounts, ID and right-to-work records, and keeping the booking system accurate. Usually daytime and desk-based.

  • Late & Overnight Cover

    Evening, night and weekend reception shifts, when most bookings happen. Ask specifically how many staff are on site with you and how the premises are secured after dark.

  • Duty Manager / Shift Supervisor

    A step up from the front desk: running the shift, cashing up, handling complaints and enforcing house rules. Usually offered to people who have already worked reception.

Good to know: Reception and admin are support roles — they do not involve providing adult services. If a listing is vague about that, or the duties shift once you ask questions, ask for the job description in writing before going any further.

How Pay Works

Reception and admin roles are normally paid either by the hour or as a flat rate per shift, and the difference matters: an hourly rate protects you if a shift overruns, a shift rate does not. Some employers add a premium for overnight, weekend or bank-holiday cover, and cash tips are sometimes pooled across the team.

Check whether you are being taken on as an employee (PAYE) or as self-employed. As an employee, tax and National Insurance come out at source and you build up holiday pay; if you are self-employed you invoice for your hours, register with HMRC and set money aside for your own tax bill. Being told you are self-employed while working fixed rotas set by someone else is worth questioning.

Before accepting, get these in writing: the rate and whether it is hourly or per shift, the exact hours, who pays you and when, whether breaks are paid, and what happens if a shift is cancelled at short notice. Staying Safe in a Reception Role

Reception is a front-line job: you are often the first person a client meets, and sometimes the only member of staff on the desk. Before accepting a role, verify the employer — look for a real trading address, a working landline and a company registration — and ask to see the premises during opening hours.

Arrange interviews at the business address in daylight, and tell someone you trust where you are going and when you expect to be back. Keep your phone charged and on you. If an interview is moved to a private flat, a hotel room or a car park, decline it.

Legitimate employers never charge candidates a fee — not for training, uniforms, a “registration”, a background check or an introduction. If you are asked to pay anything at all to get the job, walk away and report the listing to us.

On shift, ask how you raise an alarm, who else is on site and what the procedure is if a client refuses to leave. Use a work phone rather than your personal one, and never give out your surname, home address or social media. Keep your own records of shifts, hours, cash handled and anything that went wrong. From there the usual routes are office or operations manager for an agency, running rotas, records and compliance, or a specialist path into bookings, accounts or marketing. Larger operators often promote managers from their own front desk.

Everything you learn here applies outside the industry too — diary management, cash handling, confidentiality and staying calm in difficult conversations. Keep a dated log of your duties and dates and ask for a written reference when you leave, so you can describe the work accurately to a future employer in neutral terms such as “front-of-house receptionist”.
